Project Coordinator – Life Sciences 

Contract | Remote Based with occasional travel | 20 Hours/Week (500 Project Hours)
Availability: March - December 2026

This role is designed to provide hands-on operational support across a portfolio of healthcare-focused meetings and events, ensuring seamless coordination from pre-planning through on-site execution.

Working closely with senior project and account leaders, the Project Coordinator will manage registration, attendee communications, digital event platforms (including Cvent), and critical logistical workstreams across multiple concurrent programs. While event size and scope may vary, this position requires strong organizational skills, attention to detail, and the ability to quickly integrate into active projects while maintaining high quality and client service standards.

What You’ll Do:

As the Project Coordinator – Life Sciences, you will: 

  • Support Project Managers across multiple concurrent healthcare and life sciences meetings and events

  • Manage event registration processes, attendee communications, and customer service inquiries (domestic and international)

  • Oversee event-specific inboxes and resolve registration-related questions in a timely, professional manner

  • Assist with the build, testing, and launch of event websites and mobile apps using platforms such as Cvent

  • Perform quality control reviews of communications, websites, and print/digital materials to ensure accuracy and consistency

  • Coordinate logistics and prepare instructional binders and materials for on-site execution

  • Create and maintain client-specific processes, workflows, and templates to support operational excellence

  • Track timelines and deliverables to ensure programs stay on schedule and aligned with client expectations

  • Collaborate cross-functionally with account, marketing, and production teams to ensure seamless event delivery

We’re Looking for Someone Who Has:

  • Associate’s degree preferred

  • 1–2 years of professional experience, ideally within hospitality, healthcare, or life sciences environments

  • Experience with Cvent (knowledge and/or certification preferred)

  • Strong written and verbal communication skills

  • Ability to manage multiple projects simultaneously with strong attention to detail

  • Proficiency in Microsoft Office Suite and familiarity with project management tools (e.g., Monday.com)

  • Professional, client-focused mindset with strong internal coordination skills
