Senior Event Producer - Contract

Onsite Dates: January 24–28, 2027
Schedule: Approx. 120–125 hours of pre-event virtual planning; 5 onsite days including rehearsal (approx. 55–60 onsite hours, including anticipated extended time)
Our client is seeking an experienced Senior Event Producer to lead production management for a multi-day, companywide internal conference. This individual will serve as the senior production lead, turning evolving content, speakers, production partners, and onsite decisions into a coordinated, show-ready experience.
This role is designed for a producer who can see the whole show, stay close to the details, and make clear calls when the schedule changes. The work spans pre-event planning, rehearsal management, show-flow readiness, and onsite production leadership for a high-visibility, all-employee event featuring executive speakers, division-focused sessions, and recognition moments.

What You’ll Do:
Pre-Event Production Management
Attend recurring planning meetings with stakeholders, content owners, creative, AV, and venue partners
Translate the approved program into an integrated production plan, milestone tracker, and rehearsal schedule
Create and maintain the companywide run of show, rehearsal schedules, at-a-glance schedules, and cue documentation
Track decisions, dependencies, and open questions through show-ready delivery
Coordinate speaker, executive, talent, and content-owner readiness
Content & Asset Readiness
Manage the production asset list, presentations, video, audio, graphics, props, furniture, signage
Coordinate with creative and video partners to track revisions and confirm show-ready files
Maintain speaker headshot, lavalier microphone, stage-position, and entrance/exit information as needed
Identify missing inputs early and drive owners to resolution
Production Partner Coordination
Work with AV and production partners to confirm technical requirements, staffing, room layouts, power, signage, and logistics
Coordinate technical checks, cue-to-cue reviews, stage plans, and rehearsal priorities
Partner with event technology, live-stream, venue, and onsite teams without duplicating functional ownership
Escalate risks and scope changes with a recommended path forward
Onsite Production Management
Lead stage operations from rehearsal through show close
Facilitate technical rehearsals, speaker rehearsals, sound checks, and final click-throughs
Manage show timing, speaker preparation, stage flow, green room activity, and transitions
Support awards, recognition moments, presenters, and talent appearing onstage
Maintain live issue tracking and communicate decisions to the client lead
Qualifications:
7+ years in live event production, show calling, or senior event production management
Recent experience leading 3+ complex corporate events with executive speakers, general-session production, rehearsals, or hybrid delivery
Demonstrated ability to manage production partners, speakers, talent, assets, and time-critical changes
Strong knowledge of run-of-show development, stage management, backstage operations, and technical rehearsals
Availability for virtual planning and the full onsite period
Professional communication, reliable follow-through, and comfort working within a shared production team model
Preferred: experience with annual kickoffs, all-hands, sales kickoffs, or multi-day corporate programs; live-streamed or remote-audience programs; awards/recognition or high-visibility leadership moments; or the Northern Virginia / Washington, DC metro production community
