Event Planner - Contract

Contract | Part-Time

Remote - Dallas, TX or Fort Lauderdale, FL preferred for in-person training

Hours: Part-Time, Under 35 Hours/Week (Exact Hours TBD)

Our client is seeking a contract Event Coordinator to support the final execution phase of an established events program. This is a program/event coordinator-level role — the majority of planning infrastructure, templates, and processes already exist. The ideal candidate will step in to maintain registration, manage attendee lists, and execute existing communications.

This individual will work closely with sales leads and existing planners to keep event logistics organized and moving smoothly through the remainder of the year, with the possibility of extension based on business needs.

The role is primarily remote, with occasional onsite support possible for 1–2 events.

What You’ll Do:

Registration & List Management

  • Maintain event registration using existing templates and infrastructure (Swoogo experience strongly preferred)

  • Pull and manage attendee lists, rooming lists, flight lists, and arrival/departure manifests

  • Ensure accuracy and consistency of registration data

Communications & Coordination

  • Update and manage existing attendee communications

  • Support day-to-day coordination of remaining event details

  • Serve as a reliable point of contact for logistics questions

Onsite Event Support (as needed)

  • Support attendee check-in and badge distribution

  • Conduct F&B and setup checks

  • Provide general onsite event management support

Collaboration & Team Support

  • Work effectively with sales leads and existing planners across different working styles

  • Pick up final-stage planning details and keep them organized through execution

  • Maintain strong attention to detail across all administrative and logistical tasks

Qualifications:

  • Experience in event or program coordination, ideally supporting established/ongoing event programs rather than building from scratch

  • Swoogo experience strongly preferred

  • Comfortable managing registration data, rooming lists, flight manifests, and attendee communications

  • Strong attention to detail

  • Team player, comfortable working with a range of personalities and stakeholders

  • Flexible schedule and availability

  • Based in Dallas, TX or Fort Lauderdale, FL preferred; open to remote candidates
